Privacy Policy
How Adia PR collects, uses and protects your personal data when you use www.adiapr.co.uk or www.howtodoyourownpr.co.uk (the “Sites”).
About us
Adia PR Limited is the Data Controller under UK GDPR. We use the data we hold to improve your experience, we believe in communicating with you directly, and you stay in control of your contact preferences at all times. You must be 13 or over to use the Sites.
Our promises
We promise to be transparent about what we collect, to use your data only for the purposes we’ve explained, to keep it accurate, not to hold it longer than necessary, to keep it secure, to explain your privacy rights clearly, and to respond promptly to any concern. In short: we treat your information as if it were our own.
Your permission
We only collect and use your data where you have given us permission, or where we have a lawful basis to do so.
Your rights
You have the right to access the personal information we hold about you, to unsubscribe from our communications, to object to marketing profiling, to restrict how we process your information, to be forgotten (permanent deletion), to data portability, and to complain to the Information Commissioner’s Office. To exercise any of these rights, emailinfo@adiapr.co.uk.
What we collect and how we use it
We collect information when you visit the Sites (via cookies), make a purchase, meet us in person, complete a contact form, are referred to us, or from public sources such as Companies House. This can include your name, job title and contact details; demographic information; photography or video taken with consent at events; and, for clients, financial and contract information.
We use it to respond to enquiries, fulfil contracts, send relevant service information where you’ve consented, optimise the Sites, enable interactive features, notify you of changes, and protect against illegal activity. We never sell your data.
Forms on this site
When you send an enquiry we keep your name, email address, company, the service you are interested in and your message. A callback request keeps your name, phone number, the best time to call and any note you add. The PR Score keeps your name, email address, company, your answers and your score, so Alison can review it with you. Signing up to our newsletter keeps your email address. Any of these can also carry your visit history, described under Cookies and analytics below.
With each form we also record the page you sent it from, the page you first arrived on, the website that referred you and any campaign tags in the link (such as utm_source or a Google Ads click ID), so we know which of our work brought you to us. Enquiries also keep your browser type and a one-way scrambled version of your IP address, which we use only to stop spam and cannot turn back into your address.
We use this information to reply to you, to arrange a call, to discuss your PR Score and, for newsletter subscribers, to send the newsletter. Our lawful basis is your request (taking steps before a contract) and our legitimate interest in responding to people who contact us. The newsletter is sent only because you asked for it, and every issue has an unsubscribe link.
How long we keep it
We keep enquiries, callback requests and PR Score results for 24 months after we were last in touch with you, then delete them. If you become a client, your records are kept for six years after our relationship ends, as the law requires for transaction records. Newsletter subscriptions are kept until you unsubscribe; the record of your sign-up and its visit history is kept for 24 months. You can ask us to delete your information sooner at any time.
Storing and sharing your data
We share information only where it’s necessary to deliver a service, where you ask us to, or where the law requires it. The providers who process data for us are:
- Cloudflare, which hosts this site and the database where form submissions are stored;
- Resend, which holds newsletter subscriptions and sends the newsletter;
- Google (Google Analytics), if you accept cookies;
- Microsoft (Clarity), if you accept cookies.
Some of these providers process data outside the UK, including in the United States. Where they do, the transfer is protected by the UK’s approved safeguards, such as the UK Extension to the EU-US Data Privacy Framework or standard contractual clauses.
We protect your data with encryption, access controls, security certificates and regular monitoring.
Lawful grounds
We process Communication, Customer, User, Technical and Marketing data on the basis of your consent, our legitimate business interests, the performance of a contract, or our legal obligations.
Sensitive data
We do not collect sensitive personal data (such as race, ethnicity, religious beliefs, sexual orientation, political opinions, union membership, or health, genetic or biometric data), nor information about criminal convictions.
Cookies and analytics
Nothing that tracks you is switched on until you press Accept on the cookie banner. Once you do, we use two tools to understand how the site is used and which pages lead to enquiries:
- Google Analytics sets cookies (such as _ga) that count visits, pages viewed, how you found us and actions such as sending a form. Before you accept, Google may receive basic signals without cookies, which do not identify you.
- Microsoft Clarity records how visitors move, scroll and click on pages, so we can see where the site is confusing. Text you type into forms is masked and never recorded. Clarity sets its own cookies (such as _clck and _clsk).
- Your visit history on this site. We set our own cookie (adia_vid) holding a random ID, and record against it the pages you read here, for how long, how far you scrolled, how you found us and what you clicked. It is stored with Cloudflare and does not identify you. If you send us an enquiry, a callback request, a newsletter sign-up or the PR audit, your history is linked to what you submitted, so we understand what you are interested in. The same random ID, and Clarity's own ID, let us find your Clarity recordings. Anonymous history is deleted after 13 months.
Separately, Cloudflare Web Analytics counts page visits for every visitor. It sets no cookies, stores nothing on your device and does not identify you, so it runs whether or not you accept cookies. It tells us how many people visit and which pages they read.
We store your choice in your browser so the banner does not reappear. You can change your mind at any time with the Cookie settings link at the bottom of every page, which turns off analytics cookies and Clarity recording. You can also block or delete cookies in your browser settings.
